Your teams learn. Your organisation forgets.
Ubicio turns work conversations into lessons that can be reused across the organisation.
Without adding a new documentation task.
Currently in beta with a small number of organisations.
In every organisation, work generates experience. Yet what a team learns often stays in its conversations and does not resurface when a similar situation arises.
No organisation should have to invest twice to benefit from experience it has already gained.
A similar situation may already have happened elsewhere in your organisation. But that experience still needs to surface at the right time.
Formalising the lessons from an engagement takes time and a method. And even when they exist, the team facing a similar situation does not always know they are there.
Ubicio was designed to reduce the gap between experience gained and the moment it becomes useful again.
For organisations where work is organised around comparable projects, client engagements, cases or assignments.
Ubicio is particularly relevant when:
- Comparable situations recur from one project to another.
- Experience is distributed across multiple teams, clients or environments.
- Learning from experience still relies on a few people or dedicated moments.
Professional services, consulting, technology delivery, specialist firms, engineering: the common thread is not the sector, but the recurrence of situations the organisation can learn from.
Experience is not meant to be stockpiled. It should be able to circulate and be brought back into the present when a context gives it value again.
Ubicio is exploring how to carry lessons from one context to another without asking teams to search for them, and without reducing them to yet another knowledge base.
What is worth capturing?
Of everything said in day-to-day work, which lessons have real value beyond their original context?
What makes a lesson reliable?
How should teams confirm, adjust or discard what is proposed before a lesson can be carried into another context?
When should it resurface?
How do you recognise a situation close enough for past experience to inform the present without adding noise?
The betas test these three questions against real work situations and validate how experience can travel from one context to another.
A discipline built into the work.
- 01
Capture
Ubicio captures conversations in the spaces you choose and surfaces potentially useful lessons.
- 02
Validate
Designated people can confirm, adjust or discard each proposed lesson.
- 03
Put to use
When a context appears close enough to past experience, Ubicio can propose the validated lesson directly in the flow of work.
The aim: give the team additional context before it decides, without deciding for it.
Works with the tools your teams already use.
The integrations below are available in the beta. Their use in real-world conditions now needs to be validated with our first partner organisations.
Understanding what Ubicio does with your data is part of the product.
Ubicio uses work conversations to surface lessons that may be useful elsewhere.
That comes with a simple requirement: you should be able to understand which spaces are involved, how data is handled, what role AI plays, how lessons are validated and what you can control.
- Already in place
- The mechanisms described here are available and in use in the beta environment.
- Still to be validated
- How these mechanisms, and the product, work in real client environments.
- You choose the spaces involved.
- Your data remains yours. Always.
- The role of AI is clearly identifiable.
- Your teams stay in control.
- Ubicio focuses on work situations, not on people’s performance.
Transparency is not a layer added around Ubicio. It is part of its architecture.

We can look at a concrete case together, identify the relevant conversations and define a beta scope narrow enough to learn something useful.
Frequently asked questions
No. Ubicio starts from work conversations already taking place across projects, engagements or cases to surface potentially useful lessons.
Some input is still needed to validate, adjust or discard them, but Ubicio does not add a new documentation routine for your teams.
No. Ubicio can fit into an organisation with an established process, or one where lessons-learned reviews are still occasional.
It is not designed to replace existing practices. It adds the ability to surface lessons as work happens and present them when a future context makes them relevant.
A knowledge base remains useful for what your organisation has chosen to document. A search engine helps you find what you know you need to look for.
Ubicio takes a different approach: it surfaces lessons from the work itself, then can present them when a present situation echoes past experience.
You do not need to know a lesson exists for it to inform your decision.
Sensitive data is protected within the Ubicio environment. Masking can be reinforced by models running on Ubicio’s servers, without that data being retained by a third-party service.
You also choose the spaces involved, and proposed lessons go through the validation mechanisms defined by your organisation.
Ubicio is currently in beta. Each implementation starts with a conversation to understand your organisation, your tools, your current practices and the spaces where Ubicio could be relevant.
We then define the appropriate scope together before anything is put in place.
Every decision deserves the experience that came before it.
If what you have just read reflects the way your organisation works, we can look together at where past experience could better inform the present.
